How to Set Up Auto‑replies

Auto‑replies are essential for engaging prospects and converting leads into customers. With AnyBiz.io’s Auto‑replies feature, you can automate outreach while keeping a human tone—so messages still sound like you. The goal is to ensure every Auto‑reply is timely, relevant, and productive.

Step 1: Understand Categories for Auto‑replies

Auto‑replies in AnyBiz.io are organized by prospect behavior and intent. Assigning the correct category ensures the system responds appropriately.

Key categories

  • Interested — The prospect has shown interest in your product/service.

  • Buying Intent — Strong interest; may be ready to purchase soon.

  • Meeting Intent — The prospect wants to schedule a meeting.

  • Need Auto‑reply — Ongoing conversation requiring additional touchpoints.

  • Request for Pricing — The prospect has asked for pricing details.

  • Information Request — The prospect wants more information.

  • Competitor Comparison — The prospect is comparing you with competitors.

  • Referral — The prospect was referred by a customer or partner.

  • Uses Competitor — The prospect already uses a competitor’s product/service.

  • Positive Feedback — The prospect gave positive feedback on your offering.

Step 2: Configure Auto‑replies Instructions

Once categories are defined, write specific instructions for each one.

  1. Open the Auto‑replies tab
Go to the Auto‑replies tab in your AnyBiz.io dashboard.

  2. Set instructions per category
    Examples:

    • Interested: “Send a short check‑in asking if they have questions and share a bit more about the product.”

    • Request for Pricing: “Provide a link to the pricing page and offer help with any specific pricing questions.”

    • Meeting Intent: “Suggest available times for a meeting and include a scheduling link.”

  3. Use links sparingly
You can include links (pricing, docs, terms) only in the first Auto‑reply for that thread. Later Auto‑replies should be short reminders without links to avoid looking spammy.

Calendly integration (recommended)

  • If you have a paid Calendly plan, include your Calendly link in categories like Meeting Intent so prospects can book directly.
  • Once a prospect books a call via Calendly, Auto‑replies will automatically stop for that prospect.
  • This automatic stop works only with paid Calendly versions. If you use the free or a non‑corporate version, Auto‑replies will continue. For full automation, purchase at least the basic paid Calendly subscription.

Step 3: Manual Overrides

Automation is powerful, but you remain in control.

  • Replying manually
If you manually respond to a prospect, Auto‑replies for that specific prospect are disabled.

  • Disabling Auto‑replies
Go to Inbox → open the thread → Auto‑replies toggle. You can disable Auto‑replies for:

    • the individual prospect, or

    • the entire category.

Step 4: Tips for Effective Auto‑replies

  • Be strategic: Use manual outreach for high‑value prospects; automate routine nurturing.

  • Track engagement: If using Calendly, monitor scheduled meetings to gauge how well your Auto‑replies perform and refine instructions accordingly.

Conclusion

By configuring Auto‑replies correctly, AnyBiz.io helps you maintain consistent, personalized communication without extra busywork. Messages stay timely and relevant, and prospects progress through the funnel faster—boosting your conversion rates while preserving a human touch.
